Introduction

1. So Linda, have you ever made a careless mistake at work? What was it? How did you resolve it?
2. We are now organizing our next seminar in Tokyo on speaking English more smoothly and naturally. In this three-hour seminar you will learn techniques on how to study more efficiently to improve your communication skills. There will also be a number of activities that will help you to improve your listening and speaking abilities. By the end of the seminar, you will have the know-how to take your English to the next level, whether studying alone or with an instructor. Mr. Okamoto: Good morning Ms. Cho.
Ms. Cho: Good morning Mr. Okamoto.
Mr. Okamoto: How are things going with your new position? Are you starting to get the hang of everything?
Ms. Cho: Bit by bit I guess. But there really is a lot for me to learn still.
Mr. Okamoto: Oh yeah, it may seem like a constant catch-up game in the beginning, but before you know it, it'll be smooth sailing.
Ms. Cho: By the way, how was my summary report on the strategy meeting?
Mr. Okamoto: Actually, that's what I came to talk to you about.
Ms. Cho: It was that bad!? I'm really sorry…
Mr. Okamoto: No, it was done really quite well. I just thought that it would be a good idea to give you a few pointers. First of all, your transcript of the meeting minutes was very detailed. In fact, maybe too much so. You don't need to write every word or side note mentioned in the meeting. It's better to just stick to the main information, the pertinent points.
Ms. Cho: Yeah, actually writing out the transcript took me ages.
Mr. Okamoto: Yeah, I think that you need to balance your time with the necessary information that needs to be relayed. Also, here in your summary report you made a list of the decisions that were finalized in the meeting. However, you didn't note who will be responsible for what. Of course if I read the transcript it's clear, but it would be helpful to note it here as well.
Ms. Cho: Oh, I didn't think of that. I'll be sure to include who will be in charge of which tasks in future reports.
Mr. Okamoto: Thanks. Finally, since this was a strategy meeting and there's a lot of information that we want to keep confidential, please password protect all documents before emailing them. Then in a separate email, please send the password for the files.
Ms. Cho: Oh, have there been information leaks before?
Mr. Okamoto: Luckily no. However, we have accidentally added a client's name to the CC of an email before. It didn't look good for our company and I'm sure the client wondered whether our security precautions were up to par or not.
Ms. Cho: I see. Is there a specific password I should use?
Mr. Okamoto: No, any simple password is fine. So, do you have any questions about anything?
Ms. Cho: No, but thanks a lot for the feedback. I'll be sure that the next report I send you is spot-on.
Mr. Okamoto: No worries. You're doing a great job. And don't hesitate to ask anyone for help if you have any questions or concerns.
Ms. Cho: Thanks a lot.
Mr. Okamoto: Have a good one!
